PORTFOLIO DESCRIPTION
· PRESIDENT/VICE PRESIDENT
· To administrate, coordinate, supervise the student council of APIIT/UCTI.
· To act as liaison between APIIT/UCTI’s management and students community.
· To organize and chair ARC meetings and individual weekly meetings.
· To facilitate the approval of ARC activities and to support the application of clubs/events/activities.
· To highlight and provide marketing aid to all ARC activities and to steer enthusiasm.
· To provide consultation on the implementation of on-going ARC projects and activities.
· To closely monitor major events throughout the year.

· SECRETARY I & SECRETARY II
· To maintain all administrative documentation on Students’ ARC.
· To organize weekly meetings.
· To keep records of all members profile.
· To compile all progress reports of clubs and societies on a quarterly basis.
· To act as a focal communication link between the council and all respective clubs/events with management.
· To monitor official documents involving the university’s letterhead.
· To compile all templates/forms needed for requests and proposals.
· Creation of name cards & emails for each Executive Committee member.
· To respond to all corresponding emails sent to the ARC email.
· Correspondence letters
· To alert the council for any changes of structure or policies within the university.
· To handle all requests relating to stationery items used for any purposes; event or bureau related.

· TREASURER
· To monitor all accounting and monetary issues of ARC.
· To be the focal point of budget handling during major events.
· To compile all financial reports of clubs & societies on a quarterly basis.
· To be a focal point for submission of monthly claims of ARC activities and other miscellaneous items.
· To be in charge of managing all assets of Student ARC, this includes items in the store of Student Services.
· To maintain and inventory checklist of items belonging to ARC in the ARC store.
· PUBLIC RELATION BUREAU (2 Exco Members)
· To steer and motivate the enthusiasm among all APIIT/UCTI students.
· To assist in Ad-hoc committees requiring students assistance in various APIIT/UCTI activities and projects.
· Acts as a controlling and advisory body for all non-sports clubs (E.g. Debate Club, Taekwondo, SIG’s )
· To assist all clubs in marketing, purchase of club equipment, administration and support.
· To assist all clubs in the event of functions.
· To be the focal point of liaison between all clubs and the council.
· To conduct monthly meeting with all club presidents to monitor progress of activities and to ensure smooth operation.
· To be in charge of external and internal relations
· Sponsorships – master list of external contacts for all upcoming events
· Cultivate direct contact with press
· Recruitment Drive (Re.D) Week

· WELFARE BUREAU (2 Exco Members)
· Mini induction for new members
· Training & development
· To embark on social service charitable projects.
· To provide an opportunity for students of APIIT/UCTI to be involved in charity drives and noble projects.
· To cultivate a sense of humanity among APIIT/UCTI students.
· Student ARC teambuilding activities and icebreakers during orientation week.
· Health/ awareness campaigns

· SPORTS BUREAU (2 Exco Members)
· Acts as a controlling and advisory body for all sports clubs (E.g. Football Club, Hockey Club, Badminton Club, Basketball and etc.)
· To provides opportunity for students of APIIT/UCTI to be involved in sporting and recreational clubs.
· To assist all sports clubs in marketing, purchase of club equipment, administration and support.
· To assist all sports clubs in the event of preparation for inter-college competition i.e. MAPCU.
· To monitor and to be responsible over the sports club assets.
· To be the focal point of liaison between all sports clubs and the council.
· To conduct meeting with all sports club presidents to monitor progress of activities and to ensure smooth operation.
· To assist and support the organizing of the annual Sports Carnival
· Cater to external invites
· Sports schedule and calendar of events.

· INFORMATION & PUBLICATION BUREAU (2 Exco Members)
· To maintain Students’ ARC Notice Board with current information.
· To develop and maintain the ARC Web page, blogs, Facebook, etc. with its latest information/updates.
· To draft articles on ARC’s achievements and accomplishments on various activities/projects for internal publication (TV, Webspace, poster etc.) and external publication (newspaper, magazine etc.)
· Newsletter
· Media updates and coverage
· Photography and Journalist Team
· ARC Organization Chart poster
· INTERNATIONAL AFFAIRS BUREAU (2 Exco Members)
· Acts as the focal point of liaison for all International Clubs (E.g. Indonesian Students Community, Tanzanian Students Association etc.)
· To assist in all International Clubs related activities and events
· To monitor and to be responsible over the International Clubs related activities and events
· Initiate and overseas all independence day/national day celebrations
· To play an active role in providing help to all international students.
· To conduct monthly meeting with all International Clubs presidents to monitor progress of activities and to ensure smooth operation.
· To monitor and be aware of other international celebrations/festivals
· Close contact with representatives
· Calendar of independence days

· SPECIAL SECRETARIES (2 for each bureau)
· To assist in all activities pertaining to the respective bureau
· To be assigned to the exco member of the bureau for administrative purposes
· To be operational when it comes to annual university events

CLAUSE
· A total of 25 council members will be elected from the overall number of nominees based on the ballots collected.
· All decisions made and matters pertaining to the election are final and binding.
