When a health or safety incident occurs, do your staff members know exactly what to do next?

Under the updated Head Start Program Performance Standards (HSPPS Section 1302.102(d)), programs must submit reports to the responsible HHS official immediately, but no later than 7 calendar days following a health or safety incident.

Seven days go by in a flash. If your team isn't aligned on the reporting chain, a delay can put your funding and compliance status at risk.

🛠️ Action Items for Leadership:

📚Train All Staff: Every single staff member must be actively trained to implement your specific reporting procedures immediately. ( Our team can help with this part)

📋Establish Clear Protocols: Don't leave it to guesswork. Define exactly who documents the incident, who reviews it, and who submits it.

🔍Conduct Internal Investigations: Have a standard, objective process ready to go the moment an infraction is alleged.

Here's a simple exercise every Head Start leader should try.

Walk into one of your classrooms.

Stand in the doorway.

Ask yourself:

❓ Can I see every child?

❓ Are there hidden corners?

❓ Can staff see one another?

❓ Is furniture creating blind spots?

❓ Could a substitute teacher immediately understand the layout?

If the answer to any of these questions is "no," you've found an opportunity to improve supervision.

Sometimes the biggest risks aren't found during an audit.

They're found during a normal Tuesday morning.
